NVivo
NVivo is a qualitative data analysis software package. It helps researchers organise, analyse and find insights in unstructured or qualitative data.
It’s useful for researchers who are working with rich text-based and/or multimedia information, where deep levels of analysis on small or large volumes of data are required.
Key features
- Supports various data formats (text, audio, video, images, PDFs) and imports from tools such as Microsoft Office.
- Offers diverse query tools (text search, word frequency, coding query, matrix coding) to explore patterns and relationships in data.
- Provides tools for creating word clouds, charts, graphs, models and mind maps to visually represent data insights.
- Generates detailed, customisable reports to present research findings in a structured, comprehensive manner.

Additional information
The following tools are not included in the University NVivo licence and are optional add-ons.
NVivo Collaboration Cloud
Useful for a project team wanting to collaborate on project files stored within one project (including working with colleagues external to the University).
- Licences are sold per team entitling each user to use one workspace only.
- If a user wants to participate in a number of different ‘teams’ they will require a separate access (licence) for each team.
- Licences must be purchased by a ‘lead partner’ for every user in the team and allocated out to specific email addresses. They cannot be purchased individually. If users agree to pay for their own licences, this should be done through internal cross-charging.
- All users need to be using the latest version of NVivo (after version 12) and be using the same operating system, preferably Windows.
NVivo Transcription
NVivo Transcription offers automation technology to provide verbatim transcription.
- Audio files uploaded to the online platform are transcribed in a time-span of half the length of the audio.
- Data is encrypted when uploading and when stored in the online platform.
- Licences are sold per user.
Data Protection Impact Assessment (DPIA) is required
Both NVivio Collaboration Cloud and NVivo Transcription store data in the Cloud.
IT Services has carried out a Computing Risk Assessment and has concluded that it does not currently meet our security standards.
It is therefore not approved for use in all cases, especially where personal data, confidential, sensitive or personal information is used.
It can only be used in a limited number of cases, where data is anonymised.
If you would like to use NVivio Collaboration Cloud and NVivo Transcription, please:
- Undertake a DPIA with the Data Protection Team to assess the proposed data processing and anonymisation techniques.
- Once a DPIA is signed off (or agreed to not be a requirement) then you can purchase licences by emailing itsupport@york.ac.uk.

When opening NVivo for the first time
- Upon opening NVivo for the first time, you may be prompted to enter a 'My Nvivo' login to register the software.
- Choose 'provide an enterprise key to activate' and enter the licence code.

- This service is managed by a third party.
- They are responsible for monitoring, identifying and fixing faults. We provide advice and support for local issues during our opening hours.
- Support is available via NVivo (lumivero.com).

- Our service performance and standards have been produced in consultation with our customers, and we monitor the delivery, performance and availability of facilities and services.
