Requesting new laptops and PCs

Staff can order laptops and PCs either through our supported End-to-End service (E2EIT) or via the York ePurchase (YEP) system. 

Requests via the End-to-End service

Most staff departments can use the End-to-End service. (Find out if your department is eligible.) It funds standard equipment, and provides technical support for non-standard equipment.

  • Standard IT equipment:
    Request a standard IT setup, including a laptop and monitor, funded centrally by the University. 
  • Assistance with non-standard equipment:
    Assistance with purchasing specialist or other non-standard devices, including obtaining quotes, specification advice and supplier liaison. These items are usually department-funded.
  • Additional support:
    We can connect you with other IT Services teams for device build, configuration and setup support.

How to request End-to-End equipment

Requests via York ePurchase (YEP)

Use YEP if:

  • your department is not covered by the End-to-End service.
  • you need to order equipment outside the End-to-End service’s scope.

Ordering process:

  • All orders must go through the University's mandatory supplier, Converge. This includes Windows, Linux, and Apple devices.
  • Recommended devices come with a three-year enhanced warranty.
  • Devices will be built using a University-managed build (Windows, Linux, or MacOS) in compliance with the University’s Safe use of University information on all devices policy.

Recommended models

Our recommended laptops and associated accessories are available to purchase via Converge, using YEP.

Upgrades and alternative models

Converge can supply a full range of HP and Converge hardware (other brands are available by exception).

If you have specific requirements not met by the recommended range please browse HP's website (hp.com) to help you choose a model and specification. Then, contact IT Services or your Departmental Computing Officer (DCO) for further advice.

Orders for other hardware from Converge can be raised as a free-format order in YEP once a quote has been provided.

Delivery and installation

Converge hold stock of our recommended models only. To reduce our carbon footprint, we have one consolidated delivery to the University every Thursday. If your order is urgent we can, by exception, arrange for next day delivery. Typical turnaround for other specifications is around four weeks.

IT Services will contact you upon our receipt of the order to obtain delivery details. We aim to have devices available for delivery within five working days of receipt of the delivery details.

Personal purchases

Staff can purchase our recommended models for personal use from Converge. Please contact Converge (stonegroup.co.uk) and they will arrange for card payment directly. Our recommended model prices don't include VAT, which will be payable for personal purchases.
