Departmental review of fixed-term contracts
Each month we send each department a list of staff whose contracts expire in the next six months. The department must review the list, consult with staff, and update HR.
Review the list
Heads of Department and principal investigators must review the list to determine whether:
- the individual should transfer to an open contract
- the fixed-term contract should be extended
- employment will end with the expiry of the current fixed-term contract
Where contracts should be extended or made open, complete a contract variation form.
Identify the redundancy pool
Where it has been determined that the need for work , give consideration to the pool for redundancy. This may include staff on open and fixed-term contracts doing similar work.

Consult with affected employees
In cases of redundancy there are legal requirements to consult with the individual about ways of avoiding the redundancy situation
Departments must consult with the individuals concerned at the earliest opportunity to advise them of the situation and offer any assistance that might be available to support them in their future career aims.
The consultation process must be followed for each individual affected.
