At York we are embarking on a journey to transform our HR and Finance services by implementing a new integrated IT system.
This initiative is all about improving the way we work, making processes smoother, more efficient, and helping us collaborate more.
By streamlining current processes and systems, we'll reduce bureaucracy, duplication and multiple systems, allowing us to focus on delivering better outcomes for our staff. It's a step towards creating a more connected, efficient, agile, and future-ready University focused on high-quality education and fulfilling our vision of public good.

In March 2025 we officially combined the HR and Finance Transformation Programme team which is responsible for the implementation, testing and release of the new system.

What are we doing?
By replacing current systems with a ‘best-in-class’ IT solution, we will be able to access improved functionality, scalability, and a comprehensive suite of features including one reliable source of data and improved reporting across HR and Finance.

Why are we doing it now?
You’ve told us what's not working across our systems in HR and Finance - duplicate tasks, delays in accessing meaningful information, multiple data entry points and work-arounds.

How will we implement the change?

The new system will address the challenges you have raised and is an important investment in our broader journey towards 2030. We have spoken with universities who have already embarked on this journey and integrated their advice and learning into our plans.
During implementation we will adopt tried and tested processes, reducing complexity and different procedures. Simple, standard processes are key to efficiency.
Change management has been integrated as a key function within the programme, as we put people, IT, and efficiency at the centre of this change. We anticipate changes to ways of working for all staff using the new technology, and we will engage with you along this digital change journey.
A cross-organisation, multi-team programme of work has been underway for some time, and is planned to continue into 2027 for HR and 2029 for Finance. We anticipate using the new platform to enable new, improved ways of working with HR and Finance.
How will the University support me?
Our change plans detail how we will communicate and engage across the University, as we invite you to take part in this journey. We’ll communicate with you regularly about how you can be part of the change as a team member, manager or senior leader.
Look out for updates here on our website, via Slack, in meetings, and in the Staff Digest. In the summer we will start presentations and engagement sessions where you can find out more and take part in discussions and learning.
