Shortlisting
Agreeing a final shortlist
When all interviewers have their provisional shortlist you should meet to discuss your proposals and agree a final shortlist.
Ideally this should be done during a meeting to enable discussion about each candidate. However, it is possible for a shortlist to be agreed by email when holding a meeting would delay the process.
You should be looking to invite no more than six applicants for a single post to interview.
Each interviewer should put together an individual list of their shortlisted candidates in order of preference. Be aware that unconscious bias is common. If, you find your shortlist does not reflect, for example, the gender balance of applicants overall, you should review your choices.
HOD/Dean approval
Each shortlist for an academic, research or teaching roles at Grade 7 or above should be approved as follows:
Grade 7 by Head or Deputy Head of Department/School.
Grade 8 by Dean or Associate Dean of Faculty.
A Dean or Associate Dean can approve a shortlist in any faculty.
HR don't check this - it is up to you to ensure you have completed this step.
Share your shortlist with your job owner
Once you have agreed on your shortlist, your job owner should update eRecruiter with your shortlisting decisions.
