Reports about non-University members
As well as applying to staff and students, the Dignity at Work and Study Policy applies to non-members, including third parties not directly employed by the University (such as visiting academics, external contractors and their employees, and employees of wholly owned or majority owned subsidiary companies), members of Council, Senate and Co-opted committee members, and all visitors to the University (such as members of the public).
Procedures where complaints are made about people who are not members of the University
Staff and students are encouraged to report any incidents of harassment, bullying, or hate incidents, to the relevant team.
Concerns raised by students in such circumstances will normally be investigated by the University’s Complaints team.
Concerns raised by staff would normally be dealt with by their line manager and/or HR in the first instance.
For both staff and student concerns, responsible officers would work with the complainant and any other relevant teams to undertake any necessary risk assessments, ensure appropriate actions are taken to address the concerns raised, protect student and staff safety, and prevent future recurrence.
Making a report
Members of staff can report concerns directly to their line manager or HR via Report and Support.
Students should make complaints via Report and Support, and seek any support they need from college, academic, or appropriate other teams (outlined under Support).
If staff or students have concerns regarding immediate risk or danger caused by someone’s behaviour, Campus Safety can be contacted via 01904 32 3333, or in an emergency, 01904 32 4444.
There are two Report and Support portals at the University one for the University of York (UoY) and one for Hull York Medical School:
- The University of York Report and Support portal should be used for general reports about University visitors, contractors, or non-members, regardless of whether the reporting person is employed by or studies within the University of York or Hull York Medical School.
- The Hull York Medical School Report and Support portal may be used by HYMS staff and students for any issues that relate specifically to Hull York Medical School, particularly if the concern is regarding the behaviour of someone in or from a partner organisation, such as a placement provider.
If the incorrect route were to be used for any report, then the report would be sent on to the correct team.
